Learn how to view assets, create new assets, manage asset types, and record meter readings.

What you'll need

- A Scan2Evolve account with admin or site manager role (for creating assets) - Access to assets (for viewing assets) - (Optional) Camera access for QR code scanning - (Optional) Printer for printing QR code labels

Viewing assets

Web app

Step 1: Navigate to assets - Click Assets in the navigation menu - Go to /admin/assets - Asset list is displayed

Step 2: Browse assets - View list of all assets - Filter by site, asset type, or status - Search for specific assets - Sort by name, code, type, or site

Step 3: View asset details - Click on an asset to view details - See asset information, inspection history, and meter readings - View asset documents - View QR code

Example:

1. Go to "Assets" page
2. Filter by "Site: Main Factory"
3. Filter by "Asset Type: Pump"
4. Search for "Pump-001"
5. Click on asset "Pump-001"
6. View asset details, inspection history, and meter readings

Mobile app

Step 1: Open assets - Tap Assets in the navigation menu - Asset list is displayed

Creating assets

Web app

Step 1: Navigate to assets - Click Assets in the navigation menu - Go to /admin/assets - Click Create Asset button

Step 2: Fill asset information - Name: Asset name (e.g., "Pump-001") * - Code: Asset code (optional, unique) - Asset Type: Select asset type * - Site: Select site * - Serial Number: Serial number (optional) - Description: Asset description (optional) - Documents: Upload documents (optional)

Step 3: Save asset - Click Save button - Asset is created - QR code is generated automatically

Example:

Name: "Pump-001" *
Code: "PMP-001"
Asset Type: Pump *
Site: Main Factory *
Serial Number: "SN123456"
Description: "Main production pump"
Documents: [Upload pump manual PDF]
Click "Save" button
Asset is created
QR code is generated automatically

Mobile app

Step 1: Open assets - Tap Assets in the navigation menu - Tap Create Asset button

Step 2: Fill asset information - Enter asset name * - Select asset type * - Select site * - Enter serial number (optional) - Enter description (optional) - Upload documents (optional)

Managing asset types

Web app

Step 1: Navigate to asset types - Go to Assets page - Click Types tab - Or go to /admin/assets/types

Step 2: View asset types - View list of all asset types - See asset types with associated meters and templates

Step 3: Create asset type - Click Create Asset Type button - Enter asset type name and description - Save asset type

Example:

Asset Type: "Pump"
Description: "Industrial pumps"
Associated Meters: Pressure, Temperature, Flow Rate
Associated Templates: Pump Inspection

Mobile app

Step 1: Open asset types - Tap Assets in the navigation menu - Tap Types tab - View asset types

Step 2: Create asset type - Tap Create Asset Type button - Enter asset type name and description - Save asset type

3. Enter asset type name "Pump"
4. Enter description "Industrial pumps"

Recording meter readings

Web app

Step 1: Navigate to asset - Go to Assets page - Click on an asset - Go to Meters tab

Step 2: Record reading - Click Record Reading button - Select meter from dropdown - Enter reading value - Take photo of meter (optional) - Add note (optional) - Save reading

Step 3: Reading recorded - Reading is recorded - Delta is calculated automatically - Anomaly detection runs (if configured) - Reading history is updated

Example:

Asset: "Pump-001"
Meter: "Pump Pressure"
Reading: 150.5 PSI
Photo: [Photo of pressure gauge]
Note: "Normal operating pressure"
Delta: +2.5 PSI (from previous reading)
Anomaly: No (within normal range)

Step 2: Record reading - Tap Record Reading button - Select meter from dropdown - Enter reading value - Take photo of meter (optional) - Add note (optional) - Save reading

Viewing asset inspection history

Step 1: Navigate to asset - Go to Assets page - Click on an asset - Go to Inspections tab

Step 2: View inspection history - View list of all inspections conducted on the asset - See inspection dates, inspectors, and status - View last inspection date - Click on an inspection to view details

Asset: "Pump-001"
Inspections:
  - INS-2024-001: 2024-11-15, Inspector: John Doe, Status: Completed
  - INS-2024-002: 2024-11-20, Inspector: Jane Smith, Status: Completed

Frequently asked questions

How do I create an asset?

Go to the Assets page, click "Create Asset" button, fill out asset information, and save. The QR code is generated automatically.

How do I assign an asset to a site?

When creating or editing an asset, select a site from the dropdown. Assets must be assigned to a site.

How do I assign an asset type to an asset?

When creating or editing an asset, select an asset type from the dropdown. Asset types categorize assets.

How do I record a meter reading?

Go to the asset details page, go to the Meters tab, click "Record Reading" button, enter reading value, and save.

How do I view asset inspection history?

Go to the asset details page, go to the Inspections tab, and view the list of inspections conducted on the asset.

How do I print a QR code label?

Go to the asset details page, go to the QR Code tab, and click "Print QR Code Label" button.

Can I edit an asset after creating it?

Yes, you can edit assets. Go to the asset details page and click "Edit" button.

Can I delete an asset?

Assets can be archived, not permanently deleted. Contact your administrator to archive an asset.

How do I upload documents to an asset?

When creating or editing an asset, click "Upload Documents" button and select files to upload.

How do I view asset documents?

Go to the asset details page and go to the Documents tab to view uploaded documents.
