What you'll need

- A Scan2Evolve account with appropriate role - Access to audit flags - (For acknowledgment) Assigned user or admin role - (For corrective actions) Admin or site manager role

Viewing audit flags

Web app

Step 1: Navigate to flags - Click Flags in the navigation menu - Or go to /flags

Step 2: Browse flags - View list of all audit flags - Filter by status, severity, category, or assigned user - Search for specific flags - Sort by due date, severity, or status

Step 3: View flag details - Click on a flag to view details - See flag information, source inspection, and assigned user - View related answers and photos - View corrective actions

Example:

1. Go to "Flags" page
2. Filter by "Status: OPEN"
3. Filter by "Severity: HIGH"
4. Filter by "Category: Safety"
5. Click on flag "FLAG-2024-001"
6. View flag details, source inspection, and corrective actions

Mobile app

Step 1: Open flags - Tap Flags in the navigation menu - Flag list is displayed

Step 2: Browse flags - View list of all audit flags - Filter by status, severity, category, or assigned user - Search for specific flags - Tap on a flag to view details

Acknowledging flags

Web app

Step 1: Open flag - Go to Flags page - Click on a flag - Review flag details

Step 2: Acknowledge flag - Click Acknowledge button - Flag status changes to ACKNOWLEDGED - Flag is acknowledged by assigned user - Corrective actions can be added

Example:

1. Go to Flags page
2. Click on flag "FLAG-2024-001"
3. Review flag details
4. Click "Acknowledge" button
5. Flag status changes to ACKNOWLEDGED
6. Corrective actions can be added

Mobile app

Step 1: Open flag - Tap Flags in the navigation menu - Tap on a flag - Review flag details

Adding corrective actions

Web app

Step 1: Open flag - Go to Flags page - Click on a flag - Go to Corrective Actions tab - Click Add Corrective Action button

Step 2: Create corrective action - Enter corrective action title and description - Assign to user - Set due date - Click Save button - Corrective action is created

Flag: "FLAG-2024-001: Safety guard missing"
Corrective Action:
  Title: "Install safety guard"
  Description: "Install missing safety guard on pump"
  Assigned to: John Doe
  Due date: 2024-11-30
  Status: OPEN

Step 1: Open flag - Tap Flags in the navigation menu - Tap on a flag - Go to Corrective Actions tab - Tap Add Corrective Action button

Step 2: Create corrective action - Enter corrective action title and description - Assign to user - Set due date - Tap Save button - Corrective action is created

Resolving flags

Web app

Step 1: Complete all corrective actions - Complete all corrective actions associated with the flag - Mark all corrective actions as CLOSED

Step 2: Resolve flag - Go to Flags page - Click on a flag - Click Resolve button - Flag status changes to RESOLVED - Flag is closed automatically when all corrective actions are closed

Example:

1. Go to Flags page
2. Click on flag "FLAG-2024-001"
3. Complete all corrective actions
4. Mark all corrective actions as CLOSED
5. Flag status changes to RESOLVED automatically
6. Flag is closed

Step 1: Complete all corrective actions - Complete all corrective actions associated with the flag - Mark all corrective actions as CLOSED

Step 2: Resolve flag - Tap Flags in the navigation menu - Tap on a flag - Tap Resolve button - Flag status changes to RESOLVED - Flag is closed automatically when all corrective actions are closed

Example:

1. Tap "Flags" in navigation menu
2. Tap on flag "FLAG-2024-001"
3. Complete all corrective actions
4. Mark all corrective actions as CLOSED
5. Flag status changes to RESOLVED automatically
6. Flag is closed

Flag lifecycle

Status flow

OPEN → ACKNOWLEDGED → RESOLVED → CLOSED

Example:

Flag: FLAG-2024-001
  - Status: OPEN (created)
  - Status: ACKNOWLEDGED (acknowledged by assigned user)
  - Status: RESOLVED (all corrective actions closed)
  - Status: CLOSED (flag is closed)

Corrective action status flow

OPEN → IN_PROGRESS → PENDING_VERIFICATION → CLOSED

Example:

Corrective Action: "Install safety guard"
  - Status: OPEN (created)
  - Status: IN_PROGRESS (work started)
  - Status: PENDING_VERIFICATION (work completed, awaiting verification)
  - Status: CLOSED (verified and closed)

Flag categories

Global categories

Scan2Evolve includes 10 predefined global categories:

1. Safety: Safety-related issues and concerns 2. Quality: Quality control and assurance issues 3. Maintenance: Equipment and facility maintenance issues 4. Compliance: Regulatory compliance issues 5. Custom categories

Organizations can create custom flag categories:

- Name: Category name - Description: Category description - Color: Category color (for visual identification) - Icon: Category icon (optional) - Sort Order: Category sort order

Frequently asked questions

What is an audit flag?

An audit flag is a compliance issue identified during an inspection that requires corrective action.

How are audit flags created?

Audit flags are automatically created when inspection answers have the "raiseFlag" action configured in the response option.

How do I acknowledge a flag?

Open a flag, review details, and click "Acknowledge" button. Flags must be acknowledged before corrective actions can be added.

How do I add a corrective action?

Open a flag, go to "Corrective Actions" tab, click "Add Corrective Action" button, fill out information, and save.

How do I resolve a flag?

Complete all corrective actions associated with the flag, mark them as CLOSED, and the flag will be resolved automatically.

Can I edit a flag after creating it?

Yes, you can edit flags if you have the appropriate permissions. Flags can be edited to update information, assign users, or set due dates.

Can I delete a flag?

Flags cannot be deleted, but they can be closed. Closed flags are preserved for historical reference.

What happens if I don't resolve a flag on time?

Flags that are overdue are highlighted in the dashboard and flag lists. You can filter by overdue status.

How do I view flag history?

Go to the flag details page to view flag history, including status changes, corrective actions, and resolution.

What are flag categories?

Flag categories organize audit flags for better management. Categories can be global (shared across organizations) or custom (organization-specific).
