- A Scan2Evolve account with inspector or admin role - Access to an asset (for asset inspections) - A published inspection template - (Optional) Camera access for QR code scanning and photos - (Optional) Location access for GPS tracking
Start and complete an inspection
Web app
#### Method 1: From Asset List
Step 1: Log in to the web app - Open your browser and navigate to Scan2Evolve - Enter your email and password - Click Sign In
Step 2: Navigate to Start Inspection
- Click Inspections in the navigation menu
- Click Start Inspection button
- Or go to /inspections/new
Step 3: Select an asset - Browse the asset list - (Optional) Filter by site or asset type - (Optional) Search for a specific asset - Click on an asset name to start inspection
Step 4: Start inspection - The inspection form opens automatically - Fill out the inspection questions - Answer all required questions (marked with *) - Take photos where required - Add notes where required
Step 5: Complete inspection - Review all your answers - Click Complete Inspection button - Confirm completion - Inspection is submitted and processed
Example:
1. Log in to Scan2Evolve
2. Click "Inspections" → "Start Inspection"
3. Filter by "Site: Main Factory"
4. Filter by "Asset Type: Pump"
5. Click on "Pump-001" asset
6. Inspection form opens

9. Inspection is submitted#### Method 2: Using QR Code
Step 1: Open QR scanner - Go to Start Inspection page - Click Scan QR Code button - Allow camera access when prompted
Step 2: Scan QR code - Point your camera at the asset's QR code - Hold steady until QR code is recognized - Asset information loads automatically
Step 3: Start inspection - Inspection form opens for the scanned asset - Fill out inspection questions - Complete and submit inspection

1. Go to "Start Inspection" page
2. Click "Scan QR Code" button
3. Allow camera access
4. Point camera at QR code on pump
5. QR code is scanned automatically
6. Asset "Pump-001" is loaded
7. Inspection form opens

Step 1: Navigate to templates - Click Templates in the navigation menu - Browse available templates - Find the template you want to use
Step 2: Start inspection - Click the Start Inspection button (green play icon) on a published template - Select an asset (if required) - Inspection form opens

2. Find "Pump Inspection" template
3. Click green "Start Inspection" button
4. Select asset "Pump-001"

#### Method 1: Using QR Code Scanner
Step 1: Open Scan2Evolve on mobile - Open your mobile browser - Navigate to Scan2Evolve URL - Sign in to your account
Step 2: Start inspection - Tap Start Inspection button - Tap Scan QR Code button - Allow camera access when prompted
Step 3: Scan QR code - Point your camera at the asset's QR code - Hold steady until QR code is recognized - Asset information loads automatically
Step 4: Fill out inspection - Answer questions using mobile-optimized forms - Take photos using device camera - Use GPS to capture location - Auto-save occurs as you work
Step 5: Complete inspection - Review all answers - Tap Complete Inspection button - Inspection is submitted

Step 1: Type your answer - Click or tap on the text field - Type your answer - Required questions are marked with an asterisk (*)

Step 1: Check or uncheck - Click or tap on the checkbox - Used for yes/no or true/false questions

Step 1: Get location - Click or tap Get Location button - Allow location access - GPS coordinates are captured automatically
Example:
Question: "Where is the inspection being conducted?"
Answer: "Latitude: 37.7749, Longitude: -122.4194" (captured automatically)Conditional questions
Some questions may appear based on your previous answers:
Example:
Question 1: "Is the pump running?"
Answer: "No" (selected)
Question 2: "Why is the pump not running?" (appears because Question 1 = "No")
Condition: If Question 1 = "No"

Review your answers
Step 1: Review all answers - Scroll through all questions - Verify all answers are correct - Check that required fields are filled - Ensure photos and notes are provided where required
Step 2: Check for errors - Look for validation errors (highlighted in red) - Fix any errors before completing - Ensure all required questions are answered
Submit inspection
Step 1: Click Complete Inspection - Click or tap Complete Inspection button - A confirmation dialog may appear
Step 2: Confirm completion - Review the summary of what will happen - Confirm that you want to complete the inspection - Click Confirm to submit
Step 3: Inspection processed - The inspection is marked as completed - Actionable answers are processed automatically - Work requests, work orders, flags, or incidents may be created - You are redirected to the inspection summary page

5. Work request created for "Needs Repair" answer

After completing an inspection, the system may automatically create:
Work Requests
- Created when inspection answers trigger work requests - Require approval before work can begin - Shown in the Work Requests section
Work Orders
- Created when inspection answers trigger work orders - Directly assigned for execution - Shown in the Work Orders section
Audit Flags
- Created when inspection answers raise flags - Require corrective action - Shown in the Flags section
Incident Reports
- Created when inspection answers trigger incidents - Require investigation - Shown in the Incidents section
Example:
Inspection completed with the following outcomes:
- Work Request created: "Pump-001 needs repair"
- Flag raised: "Safety guard missing"
- Incident reported: "Critical pump failure"Frequently asked questions
Can I edit an inspection after completing it?
No, completed inspections cannot be edited. Contact your administrator if you need to make changes.
Can I save an inspection and complete it later?
Yes, inspections are auto-saved as you work. You can close the inspection and return later to complete it.
What happens if I don't complete a required question?
You cannot complete an inspection without answering all required questions. Required questions are marked with an asterisk (*).
What happens if a response option requires a photo or note?
You must provide a photo or note (as required) before you can complete the inspection. The system will prompt you if a photo or note is missing.
Can I cancel an inspection?
Yes, you can cancel an inspection that is in progress. Cancelled inspections cannot be resumed.
How long do I have to complete an inspection?
Inspections can be completed at any time. However, it's recommended to complete inspections within 48 hours of starting them.
What happens if I lose internet connection while conducting an inspection?
Your answers are saved locally. When your internet connection is restored, your answers are automatically synced and uploaded.
Can I conduct inspections offline?
Yes, Scan2Evolve supports offline mode. Your answers are saved locally and synced when your internet connection is restored.
How do I view inspection history?
Go to Inspections page to view all inspections. Filter by status, date, inspector, or template.
How do I view inspection details?
Click on an inspection to view details. See all answers, photos, and notes. View outcomes (work requests, flags, incidents).
